We aim to limit the information we access or receive to what is reasonably necessary to deliver the service.
2.4 Communications and business records
We may retain communications relating to enquiries, proposals, agreements, implementation work, support, invoices, and payments.
These records help us manage our business relationships, provide services, resolve disputes, and meet applicable legal and accounting obligations.
2.5 Technical information
Our website hosting and related service providers may collect technical information, such as IP addresses, browser information, device information, access logs, and information about website usage.
The information collected depends on the hosting configuration and any analytics or other services enabled on the website.
We will update this policy if we introduce additional tracking or analytics technologies that materially affect how personal information is collected or used.

4. Customer Data and NetSuite Access
Some SuiteStockIQ engagements require authorised access to a customer’s NetSuite environment.
Where access is required:
The customer is responsible for authorising the access.
Access should be restricted to the permissions reasonably necessary for the agreed work.
We will use the access for the purposes of the engagement.
We will take reasonable steps to protect information within our control.
Access should be removed when it is no longer required.
Alternatively, a customer may configure the required NetSuite Saved Searches and provide the agreed data exports.
Customers should not send shared administrator credentials or passwords through website forms or ordinary email.
Customers remain responsible for their NetSuite environment, access policies, and the accuracy and completeness of the underlying business records they provide.
5. Disclosure to Third Parties
We use third-party services to operate our website, communicate with customers, collect enquiry information, and deliver our services.
These services may include:
Website hosting: Framer, which hosts our website.
Forms and questionnaires: Microsoft Forms may be used to collect enquiries and requirements information. We may use Formspree in the future to process form submissions.
Email and business communications: Microsoft 365 or associated services used to manage business email and communications.
File storage and document management: Microsoft 365 cloud storage used to store customer-provided data, working files, reports, and related documents.
Analytics and advertising: Google Analytics, Google Ads, and other relevant tools used to understand website usage, measure advertising performance, and improve our marketing.
These providers may process information on our behalf or in accordance with their own service terms and privacy policies. Depending on the services used and their configurations, information may be processed or stored in countries outside New Zealand.
We aim to limit the information shared with service providers to what is reasonably necessary for the relevant purpose.
We will update this Privacy Policy if we introduce material changes to the services used to collect, process, or store personal information.
5.1 Service providers
We may use third-party providers to support our website, form submissions, email communications, file storage, data processing, or other business operations.
These providers may process information on our behalf where necessary to perform their services.
We aim to use such providers appropriately and limit the information shared to what is reasonably necessary.
The specific providers used may change as our business develops.
5.2 Professional advisers
We may disclose relevant information to our legal, accounting, or other professional advisers where reasonably necessary for business, legal, or compliance purposes.
5.3 Legal requirements
If our business is involved in a proposed sale, restructuring, or similar transaction, relevant information may be disclosed where legally permitted and subject to appropriate safeguards.
We will not use customer data, reports, screenshots, or company names in demonstrations, case studies, or marketing, including in anonymised form.
6. International Data Transfers
Because we are based in New Zealand and may serve customers in the United States and other countries, information may be processed or stored in a country different from the country in which it was collected.
This may occur when we or our service providers use international hosting, email, file storage, or form-processing services.
Where personal information is transferred internationally, we will take steps appropriate to the circumstances and applicable legal requirements.
The privacy protections available in another country may differ from those in your own jurisdiction.
Customers should contact us if they have specific contractual or regulatory requirements concerning the location or processing of their data.
7. Data Security
We take reasonable steps to protect personal information and customer data against unauthorised access, disclosure, loss, misuse, or alteration.
Depending on the circumstances, these measures may include access restrictions, appropriate account permissions, secure transfer methods, and limiting the information retained.
However, no website, electronic transmission, or storage system can be guaranteed to be completely secure.
Customers should use appropriate access controls in their own systems and avoid sending credentials or unnecessary sensitive information through unsecured channels.
If a privacy or security incident occurs, we will respond in accordance with applicable legal requirements and the circumstances of the incident.
8. Data Retention and Deletion
Customer files may be stored in Microsoft 365 cloud storage during an engagement. When the applicable deletion period expires, we will take reasonable steps to delete customer working files from the storage locations under our control. Copies held in backups, email systems, or third-party services may remain for a limited period under their respective retention processes, subject to applicable legal requirements.
8.1 Customer working data
Our intended practice is to delete customer-provided working data and engagement files within 30 days after completion of the engagement, except where retention is required by law or reasonably necessary for legitimate recordkeeping obligations.
This target applies to customer data and working files under our control. It does not necessarily mean that every copy is immediately removed from email systems, backups, or third-party services, where separate technical retention cycles may apply.
8.2 Business and accounting records
We may retain contracts, invoices, payment records, relevant business correspondence, and other records for the periods required by applicable law or reasonably necessary to manage our business and legal obligations.
8.3 Enquiry information
We may retain enquiry and questionnaire information for a reasonable period to respond to requests, manage prospective customer relationships, and maintain appropriate business records.
We will review our retention practices as necessary and securely delete or dispose of information when it is no longer required, subject to applicable obligations.
9. Your Privacy Rights
Depending on your location and the laws that apply, you may have rights to:
Request access to personal information we hold about you.
Request correction of inaccurate personal information.
Request deletion of personal information in certain circumstances.
Object to or request restrictions on certain processing activities.
Withdraw consent where processing relies on consent.
Make a complaint to the relevant privacy regulator.
These rights are subject to applicable legal conditions and exceptions.
To make a privacy request, contact us using the details in Section 13. We may need to verify your identity before responding.
If you are a customer acting on behalf of your organisation, please ensure that you have the appropriate authority to make requests concerning information relating to other individuals or the organisation.
